Enrollment Procedures

  1. The schedule for enrollment is indicated on the Academic Calendar. Enrollment is every semester. To facilitate enrollment, students should follow the assigned date of enrollment for every year level.
  2. Enrollment Requirements
    • a) Transfer Credential from the last school attended (q. v. MORPHE XVIII Sec. 85). This Certificate of Transfer Eligibility comes with a tear-off portion or return slip that is sent back to the originating school. Upon receipt of this tear-off portion the originating school forwards the original Transcript of Records marked copy for Divine Word School of Theology (q. v. Sarmiento 2015, 351).

      Transfer Credentials establish the student’s status to the school he or she is moving to and indicate that he or she is (1) free of all financial and property responsibilities from the school; (2) not under a term of suspension or expulsion; and (3) fully eligible to transfer (q. v. Sarmiento 2015, 406).
    • b) Photocopy of BIRTH CERTIFICATE

      For purposes of enrollment, the name and other personal data or circumstances of each student as indicated on his or her birth certificate or passport shall prevail.
    • c) Recommendation Letter from Bishop, Superior, or Parish Priest.

  3. Policies/Procedures

    • a) Each student should enroll personally.
    • b) Late enrolees will have to pay a corresponding fine. Old students who did not submit the necessary enrollment requirements like the Transfer Credentials or Official Transcript of Records are required to submit them before filling out the registration forms. New Students must submit to the office all pertinent enrollment requirements (Transfer Credentials, Birth Certificates, passport size pictures, recommendation letters, foreign students – I-card, passport/ visa, Permit to Study, authenticated copy of scholastic records).
    • c) “No student shall be accepted for enrollment unless he presents the proper school credentials on or before the end of the enrollment period for the school term (q. v. Article XVIII sec. 84, MORPHE 2015).
    • d) NO ENROLLMENT REQUIREMENTS, NO ENROLLMENT.
    • e) Upon submission of the requirements, each student will be given the pre-enrollment forms to fill out. The student fills out the pre-enrollment forms on the basis of the list of Course Offerings for the semester of the program he or she wants to enroll in, indicating the prescribed courses as well as the special courses. There are different forms for each program: ECCLESIASTICAL COURSE, STB, AB THEOLOGY, MA THEOLOGY.
    • f) After filling out the pre-enrollment forms, each student must see the Dean of Studies for the approval of courses and subject load.
    • g) After securing the approval of the Dean of Studies, the student fills out the OFFICIAL ENROLLMENT FORM then presents it to the Dean for approval (q. v. Minutes of the Rectors and Faculty meeting 29 December 2005).
    • h) The student submits the official enrollment form to the Accounting Office for the computation of the tuition and other school fees.
    • i) The Registrar’s Office will issue class cards only after the student has made the initial payment of fees. The issuance of class cards indicates that the student is officially enrolled at the Divine Word School of Theology. The class cards will be submitted to the respective professors on the first day of classes.
